Privacy Policy

This Privacy Policy explains how Coach Contact Finder (“we,” “us,” or “our”) collects, uses, discloses, and retains information when you use the website, create an account, purchase access, contact support, or submit a correction, removal, privacy, or refund request.
1. Information We Collect
Account information
When you register, we collect the name and email address you provide. We also store account status information, such as whether your account has paid access and whether it has administrative privileges.
Password information
We store a one-way cryptographic hash of your password rather than the plain-text password. You are responsible for keeping your password confidential.
Payment and transaction information
Payments are handled by Stripe. We do not directly store full payment-card numbers or card security codes. Stripe may collect payment details, billing information, contact information, device information, IP address, fraud signals, and transaction information under Stripe’s own privacy terms. We may receive limited transaction information from Stripe, such as payment status, session identifiers, customer email, amount, date, and product purchased.
Technical and usage information
When you use the Service, our hosting provider and application may process technical information needed to deliver and secure the Service, such as IP address, browser type, device information, timestamps, requested pages, login attempts, error information, and security or rate-limit events. We do not currently use third-party advertising trackers or sell personal information for targeted advertising.
Communications and requests
If you email us, request support, ask for a refund, report an error, request account deletion, or submit a correction or removal request, we collect the information included in that communication and any information reasonably needed to evaluate and respond to it.
Private athlete portfolio information
A paid user may optionally create an owner-only athlete portfolio. Depending on what the user chooses to provide, it may include athlete name, sport, position, graduation year, school or club, state, height, weight, GPA, a stats summary, honors, recruiting goals, age range, guardian-permission confirmation, and links to film hosted by Hudl, YouTube, or Vimeo. We do not ask for an exact birth date, home address, personal phone number, or on-site video upload. Portfolio information is not published to other users; it is available to the account owner and authorized administrators who need access to operate, secure, or support the Service.
Private recruiting board information
When you use a football or basketball recruiting board, we store the programs or contacts you save, your selected stage, private notes, contact dates, and follow-up dates. This information is tied to your account and is not displayed to other users.
Recruiting Swipe choices
Recruiting Swipe stores pass, maybe, and interested choices in your browser's local storage so you can continue the same deck on that device. Those choices are not added to your account or sent to our server unless you separately use an account feature, such as saving a coach to your private Recruiting Board. Clearing site data in your browser removes the locally stored swipe choices.
Private recruiting calendar information
When you use the recruiting calendar, we store the titles, dates, event types, sport selections, school names, private notes, completion status, and optional source links you provide. Calendar items are tied to your account and are not displayed to other users.
Directory information
The football and basketball directories contain program facts and professional contact and role information believed to have been made publicly available by schools, athletic departments, staff directories, or other public sources. Directory records may include a person’s name, job title, school, conference, subdivision, publicly listed email address, publicly listed telephone number, program state, source link, source season or academic year, and research date. Basketball staff contacts are loaded only when a record includes an official HTTPS source.
2. How We Use Information
We use information to:
- create, authenticate, and maintain accounts;
- process and verify purchases and activate paid access;
- provide search, filtering, directory, private portfolio, private board, private calendar, support, and administrative features;
- prevent fraud, abuse, account sharing, scraping, and unauthorized access;
- enforce our Terms of Use and protect users, the Service, and third parties;
- respond to support, privacy, refund, correction, and removal requests;
- maintain, troubleshoot, secure, and improve the Service;
- comply with legal obligations and valid legal requests;
- create aggregated or de-identified information that does not reasonably identify a person.
3. Cookies and Similar Technologies
The Service uses essential session technology to keep users logged in and support account security. Stripe and Render may use cookies or similar technologies as described in their own policies. We do not currently use behavioral advertising cookies.
The free recruiting toolkit, Recruiting Readiness Score, and Recruiting Path Simulator use your browser's local storage to remember checklist progress on that device. Checklist selections are not submitted to our server. You can remove them with the toolkit's reset control or your browser's site-data controls.
4. How We Disclose Information
We may disclose information in the following circumstances:
- Service providers: to companies that help operate the Service, including Stripe for payment processing and Render for hosting, databases, networking, logs, and infrastructure.
- Legal and safety reasons: when reasonably necessary to comply with law, legal process, government requests, protect rights or safety, investigate fraud or abuse, or enforce agreements.
- Business transfers: in connection with a merger, sale, financing, reorganization, or transfer of all or part of the business, subject to appropriate safeguards and applicable law.
- With your direction or consent: when you ask us to disclose information or otherwise authorize disclosure.
We do not currently sell personal information or share personal information for cross-context behavioral advertising.
5. Data Retention
We retain account information while an account remains active and for a reasonable period afterward as needed for security, dispute resolution, fraud prevention, accounting, legal compliance, and enforcement. Support, correction, removal, privacy, and refund communications may be retained as needed to document and resolve the request. Technical logs may be retained by us or our providers for operational and security purposes according to provider settings and policies. We may retain de-identified information that no longer reasonably identifies an individual.
Private portfolio information remains until the user deletes the portfolio, deletes the account through a verified request, or we remove it as reasonably necessary to operate the Service or comply with law. Using the in-product portfolio delete control removes the active portfolio record without deleting the user's account or recruiting boards.
6. Security
We use reasonable administrative and technical measures intended to protect information, including password hashing, access controls, server-side authorization, rate limiting, encrypted HTTPS connections provided through our hosting environment, and use of a third-party payment processor. However, no system is completely secure, and we cannot guarantee absolute security.
7. Your Choices and Requests
You may request access to, correction of, or deletion of your account information by emailing coachcontactfinder@gmail.com. You may also request correction or removal of a directory entry. Please identify the account or entry and describe the requested action. We may request reasonable verification before acting. We may retain information when required or permitted for legal, security, fraud-prevention, or recordkeeping purposes.
Depending on where you live, applicable law may provide additional privacy rights. We will evaluate verified requests under applicable law and will not unlawfully discriminate against you for exercising a privacy right.
8. Children’s Privacy
The Service is not directed to children under 13, and children under 13 may not create accounts or submit personal information. If we learn that we have collected personal information directly from a child under 13 without legally sufficient authorization, we will take appropriate steps to delete it. Users under 18 should use the Service only with permission and supervision from a parent or legal guardian. Creating a private portfolio for an athlete age 13–17 requires confirmation of parent or legal guardian permission.
9. Third-Party Sites and Services
The Service may link to school websites or other third-party services. Stripe, Render, and linked websites have their own privacy practices. This Policy does not control how those third parties collect, use, retain, or disclose information.
10. International Users
The Service is operated from the United States, and information may be processed in the United States or other locations where our service providers operate. Privacy protections may differ from those in your jurisdiction. By using the Service, you understand that information may be processed in those locations, subject to applicable law.
11. Changes to This Policy
We may update this Privacy Policy as the Service, providers, or legal requirements change. The revised version will be posted with a new effective date. We may provide additional notice of material changes when appropriate.
